Privacy
Privacy at HealthMate
This page summarises in English how HealthMate handles personal data.
Who is responsible
The data controller is PHYSIA AI SOFTWARE SOLUTIONS, SL, tax ID B70745815, with a registered address at AVDA/ ALCOY, 48, 4B, 03010 Alicante, Spain, within the meaning of article 4(7) of the GDPR. Privacy questions and rights requests go to info@healthmate.tech.
Patient data belongs to the clinic
When a client clinic loads its patients’ data into the platform, the clinic is the data controller and HealthMate acts as its processor under article 28 of the GDPR, processing that data only on the clinic’s documented instructions and under the service agreement. This matters in practice: a patient exercising their rights should address the clinic, not HealthMate. If a request reaches HealthMate directly, it is forwarded to the clinic responsible.
What is processed, why, and for how long
| Activity | Data | Purpose | Legal basis | Retention |
|---|---|---|---|---|
| Browsing this website | IP address, date and time of access, activity on the platform, device used. | Keep the service running and secure, analyse stability and ship relevant updates. | Legitimate interest — art. 6(1)(f) GDPR. | Deleted after 30 days when no relevant security issue is detected. |
| Creating a trial account | Email address, first name, last name, date of birth, phone number. | Give access to the product and set up the account. | Consent — art. 9(2)(a) GDPR. | Kept while the account is active or until erasure is requested. |
| Using the analysis and recommendation engine | Information entered into the platform and the results it produces. | Provide the analysis and recommendations the account has been set up for. | Consent — art. 9(2)(a) GDPR. | Same period as the associated account. |
Your rights
Under the GDPR you can request access to your personal data, rectification of inaccurate data, erasure, restriction of processing, portability, and you can object to processing based on legitimate interest. Where processing relies on consent, you can withdraw it at any time without affecting the lawfulness of what happened before. Write to info@healthmate.tech saying which right you are exercising. You also have the right to lodge a complaint with the Spanish data protection authority, the Agencia Española de Protección de Datos (aepd.es).
Not a medical service
HealthMate is management and communication software for clinics. It does not provide healthcare services, does not diagnose and does not treat. Anything the platform generates — including messages from its AI assistant — is organisational and informational: it is not medical advice and never replaces a healthcare professional. Clinical decisions belong exclusively to the clinic’s professionals. In an emergency, call the emergency services (112 in Spain).
